An absence quota type in SAP HCM Time Management is a configuration category used to define, track, and manage employee entitlements for paid time off, such as annual leave, sick leave, or compensatory time.
Key Components:-
1.Validity Period: The timeframe during which the generated quota record is active and valid in Infotype 2006 (Absence Quotas).
2.Deduction Interval: The specific window of time in which an employee is actually allowed to use or draw down the accumulated quota balance.
3.Time Unit: Determines whether the quota is managed and counted in days or hours.
4.Entitlement Limits: Controls whether deductions beyond the allowed entitlement are permitted, and up to what specific negative balance limit.
Core Components and Configuration Flow
-Infotype 2006: Stores the quantitative allowance of absence quota types assigned to individual employees.
-Generation Rules: Dictates how quotas accrue automatically (e.g., monthly, yearly) viaTime Evaluation using selection rules and base entitlements.
-Deduction Rules: Defines the sequence and priority in which multiple absence quotas are reduced when an employee books an absence type.
-Counting Rules: Determines how calendar days, working days, and public holidays translate into actual deduction amounts for specific absence types. If you want to generate absence quota, Go to se38, Program is RPTQTA00, click on execute, perform test run and check whether quota are generated (or) not based on the start date of an employee.
How to update generated absence quota in IT 2006 using Batch Input.
Go to sm35, select Session Name, click on 'process', choose 'display errors only', it leads to 'processing of batch input session' and exit batch input.
Then go to PA 30,enter personnel number,infotype '2006' and choose subtype, click on display icon, check whether absence quota records are updated(or) not
If you want to book absence, go to PA30, Choose Personnel Number, Infotype (IT 2001) and subtype (absence type)
